Work order templates

Create work order templates in Console, bind scenarios, and edit, delete, or disable templates.

Prerequisites

Entry: Console → Work ordersWork order templates.

Templates and scenarios work together:

  • Template: defines the fields required when creating a work order.
  • Scenario: defines where and on which client/page a work order can be created.
  • Binding: after linking a template to a scenario, creating a work order in that scenario uses the linked template automatically. Both must be linked before work orders can be created normally.

Available actions: add template, edit template, configure scenarios, manage recurring plans (recurring templates only).

Steps

Create a work order template

Click New template.

Fill in basic information:

  • Template name: up to 50 characters
  • Work order category: e.g. repair, lost & found
  • Requester role: who can create work orders with this template
  • Handler: who handles this type of work order
  • Urgency: e.g. normal, urgent
  • Notification method: whether to notify handlers by SMS/email
  • Work order type (optional): used when the system handles special events
  • Trigger type: choose Recurring for daily/weekly/monthly auto-generation; choose Ad hoc for one-off templates

The new template page starts with basic information: category, roles, urgency, notifications, and trigger type.

Configure work order content; select fields required when creating a work order:

  • Room / space: whether a specific room/space is required; required flag can be changed
  • User: whether a specific user is required; required flag can be changed
  • Reservation: whether a specific reservation is required; required flag can be changed
  • IoT device: whether device details are required; typically for IoT repair work orders
  • Issue description: always selected and required
  • Image upload: always selected; required flag can be changed

Configure custom options:

  • Allow handler to get room password: enable if the handler needs room access

Click Save when done. New templates default to Enabled.

The work order content section lists optional fields; custom options include whether room password access is allowed; the primary button is Save.

Bind template to scenarios

Find the template to bind in the template list.

Ensure the template is Enabled.

Click the more options menu (three dots) and select Scenario settings.

Select scenarios to bind for each client.

Click Confirm.

Scenarios are shown as: scenario code_client_description_scenario name.

Binding rules: only enabled templates can be bound; one scenario can bind to only one template; one template can bind to multiple scenarios; you can unlink a template from a scenario at any time.

Edit template

Click the more options menu (three dots) on the target template and select View details.

Work order category, Notification method, and Work order content cannot be edited; other fields can be edited.

Edits do not affect work orders already generated; they apply only to future work orders.

Delete template

Prerequisite: the template is not bound to any scenario and has not generated work orders.

If work orders were already generated: the template cannot be deleted; you can disable it.

If no work orders were generated: after unlinking all scenarios, you can delete.

  • Click the more options menu (three dots) on the target template, select Delete, and confirm.

Disable template

Prerequisite: the template is not bound to any scenario.

To disable, unlink all scenarios first, then toggle the status switch and confirm.

Result

New templates default to Enabled; after binding scenarios, work orders can be created from the matching entry; edits affect only future work orders; delete or disable requires unlinking scenarios first.
