Create hotel reservation
Manually create a hotel reservation in Console when a stay was canceled by exception, a channel connection failed, or you need to book a group offline.
Front desk or operations staff create hotel reservations in Console when an online booking cannot be recovered, or when a team must be booked offline.
Entry: Console → Room reservations → New Reservation.
Prerequisites
- A reservation was canceled by exception, a channel direct connection failed, or an offline group needs a hotel reservation created in Console.
- You have permission to create hotel reservations.
Steps
Create a single reservation
Click New Reservation (plus icon).
In the dialog, select reservation type Hotel.
Fill in basic info and booker details, and select a rate plan.
Click Create & View Reservation. The system opens the reservation details in a new browser tab.
The dialog asks for hotel type first, then basic info, booker, and rate plan. Primary button is Create & View Reservation.
If the booker already has a user account, search and select that user. Reservations created this way auto-add the booker under guests.
For manual rebuilds after a cancel or connection failure, if the rate differs from the original, adjust it on the Room rates tab of the reservation. See Change rate.
Create multiple reservations
In the New Reservation dialog, fill in or select the required fields.
Click Create and keep content. The system creates the hotel reservation without closing the dialog or clearing the fields.
Click the same button again to create more reservations quickly.
Link a company for city ledger
When creating a hotel reservation that should Quick Post and auto-invoice to a company:
Select the company: when creating the hotel reservation, choose the target company.
Confirm on the detail page: after the reservation opens, verify:
- The company field shows the correct company and Auto invoice is on.
- Payer is set to Company.
If you did not select a company at create time, edit the reservation on the detail page before the first night audit, and set Payer to Company at the same time.
Payer is who actually pays for the reservation:
| Payer | When available | Notes |
|---|---|---|
| Guest | Default | Guest pays. Examples: prepaid or pay-on-arrival on owned channels; Booking.com pay-on-arrival. |
| OTA | Rate plan has Quick Post enabled | Settled with the OTA in batch. |
| Company | Reservation is linked to a company | Company pays or posts to city ledger. |
- On create, the system picks a payer from reservation data; you can change it manually.
- Priority when more than one rule matches: Company > OTA > Guest.
If you later edit reservation fields, Payer does not update automatically — change it manually if needed.
Result
- Single reservation: details open in a new browser tab.
- Multiple reservations: the dialog stays open with fields retained so you can create more.
- With a linked company, Payer = Company, and Auto invoice on, you can use Quick Post at check-out.
