Long-stay renewal

Create a renewal contract, extend reservation dates, and transfer the deposit balance in Console.

When a guest renews for one month or more, create a renewal contract in Console.

Entry: Console → long-stay reservation details → contracts.

Steps

Create the renewal contract

Before creating a renewal contract, the prior valid contract must be Active or Expired / terminated. Otherwise Create Contract is grayed out.

Renewal start date defaults to the prior valid contract’s end date and cannot change. End date defaults to one month after start and can change. Keep the deposit amount the same as the prior contract when possible so deposit transfer is straightforward.

Change reservation dates

After the renewal contract is created and submitted, manually extend the reservation check-out date.

In Basic info, open the three-dot menu → Change dates.

In the dialog, check-out date updates to the renewal contract end date. Click Confirm.

Only expected departure time can be edited; other fields are locked.

Transfer deposit

You can move the prior contract’s deposit balance onto the renewal contract’s deposit bill when both are true:

Transactions → deposit folio balance is less than 0 (deposit on hand).
The renewal contract’s deposit bill is unpaid.

Open the renewal contract’s deposit bill details, click Transfer deposit balance.

Adjust the amount if needed, then Confirm.

If renewal and prior deposits match and you have not edited deposit-folio transactions, the default amount is correct — confirm as is.

After transfer, the bill details show a deposit transfer line and the bill becomes paid. The deposit folio adds two transactions (out and in). When the original deposit bill balance is fully moved out, that bill is auto-marked Deposit refunded.

On the Guest App, the original deposit bill also shows as deposit refunded.

Deposit transfer moves money between contracts. Confirm amounts before you confirm the transfer.
