Check-in

Front desk reserves a room, maintains guests, checks in, prints registration cards, and authorizes access.

Front desk staff check in hotel reservations on arrival (or when assigning a room early). Prefer Self check-in when the guest can use the App; this page is the Console path.

Entry: Console → Room reservations → reservation details → Check In.

Prerequisites

  • Reservation is not yet checked in (or is a linked subsequent stay eligible for check-in per the scenarios below).
  • All gates in the check-in dialog must pass: room available, housekeeping status (HSKP), linked extension, room setup, etc. (failed items are marked in the dialog).
  • Room-setup add-ons require room assignment first; see Add add-ons.
  • Paid upgrade only when not reserved and with no linked reservation; see Paid upgrade.

Steps

Reserve a room

Reserve early when the guest asks or when breakfast room numbers must be reported.

Click Check In.

In the dialog, open the three-dot menu → Select Room.

In Select Room, choose the room and Reason. If reason is Other, add a remark.

Click Reserve Room.

The check-in dialog has a three-dot menu on the right when not yet reserved. Select Room can filter floor and orientation and lists vacants (including recommendations); Other shows a remark field.

Change actual occupancy

If actual headcount differs from booked, update actual occupancy. This feeds occupancy stats and is not tied to guest profiles added.

Click the headcount next to the Guests section title.

In Update Occupancy, change Actual occupancy.

Click Confirm.

The dialog compares booked adults/children and uses plus/minus controls.

Add guests

Guest / mini-program / App bookings as a visitor, and all OTA bookings, do not auto-add guests — add them manually.

Logged-in user bookings on web / mini-program / Guest App auto-add the primary guest; companions must be added manually.

Click Add Guest at the top right of Guests.

In the dialog:

  • Primary guest: search name / mobile / email and select the user.
  • Companion: User or Non-user. Users use the same search; non-users need a name, and minors must check Guest is a minor, then Confirm.
  • Create user and add: if search is empty, Create New User, fill the form, Create — the user is created and added as a guest.

After creating a user, complete basic info and ID documents on the user profile. See ID documents, Basic info.

If not reserved and with no linked reservation, you may paid-upgrade before check-in. Full steps: Paid upgrade.

Check in (standard)

When all gates pass, click Check In, then Confirm on the dialog.

  • If not reserved, the system recommends a room.
  • If reserved, the dialog shows Reserved.

The dialog lists the room to assign, then the check-in gates.

Check in (linked extension)

For a subsequent linked reservation, the dialog hides housekeeping (HSKP) and adds Linked extension.

Check out the prior reservation before checking in the next.

Check in (room setup)

Room-setup add-ons add a room-setup gate. When setup is done, the gate passes. If the guest has arrived early, use Check In Anyway.

Click Print Registration Card.

Select guests to print.

Click Confirm to generate a PDF for printing.

Primary guest is selected by default; minors are marked. Non-users can print too.

Authorize

After check-in, grant room and door access (non-users cannot be authorized).

Click Grant Room Access on the guest.

Choose notification channels (or clear all to authorize without notify).

Click Confirm.

If the lock is offline, Refresh first; if still offline, issue a temporary password.

A temporary password while the lock is offline is emergency access only. After the lock is back online, confirm formal room access is active.

Result

  • Reservation is in-house; an unreserved stay gets the recommended room (or keeps the reserved room).
  • You can print registration cards; user guests can receive room and door access.
