Create and activate contract

Long-stay contract flow from draft through submit, guest signing (digital), and activation on the start date.

Complete in order: create draft → submit → (digital) sign → activate on the start date. Manual contracts have no Signed status; after submit they stay Submitted until activation.

Prerequisites

First contract requires all of:

  1. Occupants added on the long-stay reservation.
  2. ID documents on file for all occupants (except non-users).
  3. Stay length within 14 months.
  4. (Optional, digital only) User has authorized personal-information transfer.

Guests can enter ID details and authorize transfer in the Stey mini program: MyPersonal information management. They can also add address and emergency contacts there.

If the guest cannot use the mini program, front desk can enter profile data in Console. Without transfer authorization, only a manual contract is supported.

Renewal contract needs the above, and the prior valid contract must be Active or Expired / terminated.

Steps

Create the first contract

Open reservation details → contract list, click Create Contract to open the draft.

Create Contract appears when prerequisites are met.

Review occupant info (synced from profiles, read-only), then Continue.

For a digital contract, the primary guest’s mobile must be a mainland China number.

Choose Party B:

  • Individual: auto-fills primary guest; locked.
  • Company: enter full company details manually.

Configure rates and dates:

  • Room type: sellable type and area are locked.
  • Contract dates: start and end default to reservation dates and are locked.
  • Adjust price (if needed): edit Deposit, Monthly rent, Billing day. If deposit or monthly rent is below the default minimum, a discount reason is required.
  • Early-termination penalty:
    • Advance notice (days): integer 1–100 (required; default 30).
    • Penalty calculation: daily average of the current billing cycle (system default; locked).

Fill contacts (defaults from primary guest profile; edit if needed; enter manually if the profile is empty).

Finish contract settings:

  • Sublet service fee: fixed fee by default; amount editable.
  • Utilities: on by default; can turn off.
  • Contract format:
    • Digital contract: toggle only when the occupant has authorized personal-information transfer. If unauthorized or Party B is Company, the option stays off and locked.

When everything looks correct, click Save & Finish at the bottom.

You can edit the draft until you submit.

Create a renewal contract

Open reservation details → contract list, click Create Contract.

Review occupant info (read-only), then Continue.

For a digital contract, the primary guest’s mobile must be a mainland China number.

Choose Party B (Individual or Company) as for the first contract.

Configure rates and dates:

  • Room type: locked.
  • Contract dates: start defaults to the prior valid contract’s end date (locked); end defaults to one month after start (editable).
  • Adjust price (if needed): same rules as the first contract.
  • Early-termination penalty: same fields as the first contract.

Fill contacts as for the first contract.

Finish contract settings (sublet fee, utilities, digital vs manual) as for the first contract.

Click Save & Finish.

You can edit the draft until you submit.

Submit the contract

After the draft saves, Submit Contract appears at the bottom. Click to submit.

After submit, status is Submitted. Submitted contracts cannot be edited. To change them, open the contract’s More menu → Revoke Contract, then create again.

If submitting a digital contract fails because submitted data does not match existing records:

Confirm with the guest that the mobile number matches the ID on file in the system.

Have the guest log in to eSignbao with that mobile (website, WeChat mini program, Alipay mini program, etc.) and check that real-name details match the system exactly.

Person, ID, and mobile must align; otherwise use a manual contract only.

Guest signs the contract

Digital contracts only.

After a digital contract is submitted, the user gets an SMS.

The user signs online via the SMS link or the Guest App.

After signing, status becomes Signed.

Only digital contracts reach Signed. Manual contracts are signed offline and stay Submitted until activation.

Activate the contract

On the contract start date, a Signed digital contract or a Submitted manual contract shows Activate Contract in the three-dot menu.

Deposit or first bill unpaid

Click Activate Contract.

The system prompts. To continue anyway, check I agree and continue.

The unpaid dialog shows bill status and requires the agreement checkbox.

Deposit and first bill paid

Click Activate Contract.

In the confirmation dialog, click Confirm.

Result

  • Draft is saved and can be submitted.
  • Digital contracts become Signed after signing; manual contracts stay Submitted.
  • After activation on the start date, the contract is active and check-in can continue.
