Finance settings & accounting
Can the AR account code be changed after creating an AR account?
Yes. On the AR account list page, find the account and click Edit. The edit dialog lets you change the code and related settings.
How do I view the outstanding amount in an AR account?
View it on the AR account list page or the AR account detail page.
How do I view the reservation linked to a bill?
On the AR account detail page, click the eye icon next to the bill to view linked reservation information.
I settled the wrong bills — how do I reverse it?
Same-day operations can be reversed.
- Check Show settled transactions.
- Find the AR payment transaction created during offset payment and delete it.
- Confirm in the second confirmation dialog.
Unallocated balance
When bank receipt amount does not match bill amount, use Unallocated Balance to complete settlement.
Example (customer overpaid):
- Bill total is ¥10,000; customer paid ¥20,000. Create ¥10,000 Unallocated Balance (available for next settlement). Enter unallocated balance amount during offset payment.
- On the next settlement, with unallocated balance available, the customer only needs to pay ¥2,000 more to settle.
How do I view offset payment operation records?
View them on the AR Payment tab of the AR account detail page. Click the eye icon next to a payment record for details.
Why didn't linked transactions generate as expected when a transaction occurred?
Check in this reservation:
- Confirm the main transaction's code is assigned to a group with generation rules configured.
- Confirm the calculation method matches business expectations (original transaction amount vs. sub-group total).
- Try re-saving the rule or refreshing the page.
Can one group have multiple generation rules?
Yes. One group can have multiple sub-groups, each with its own generation rule.
Do generation rules affect historical transactions?
No. Auto generation rules apply only to new transactions after the rule takes effect. Existing historical transactions are not affected.
Why can't the front desk find a newly configured transaction code when creating a transaction?
Check in this reservation:
- Confirm Manual Transaction Creation is enabled for that code.
- Confirm AR Only is not enabled (if enabled, the code is only available in AR account settlement, not on reservations).
- Refresh the page to ensure configuration has taken effect.
Why can't some transactions be deleted or adjusted?
Usually due to:
- Allow Adjustment is not enabled for that transaction code.
- The transaction is a payment transaction — payment transactions cannot be adjusted.

How do I verify folio totals after an adjustment?
After confirm, the original line remains, plus an offsetting line and a new-priced line. On the folio, check that those three lines net to the expected amount — do not read the original line alone.

When is AR Only used?
AR Only is mainly for corporate and contracted account direct billing. When enabled, the code is only available during AR account settlement and does not appear in reservation detail create options, preventing front desk misuse.
Why can't I select a code I created when configuring room charge transaction codes?
In Auto Room Charge Posting configuration, the dropdown only shows codes marked as Revenue. Confirm the code has Revenue enabled; if not, edit it and return to this page.
Night audit
Night audit was interrupted — what should I do?
An interruption means unresolved items remain (e.g. unsettled bills, unprocessed contracts). Follow these steps:
- Click the reservation number in the interruption dialog to open the reservation detail page.
- Complete unresolved items per page prompts.
- Return to the night audit dialog and click Retry.

What is the linked reservation indicator for?
When the same guest has both a checkout and a check-in on the same day, the system shows a link indicator so the front desk can proactively confirm whether the guest needs a stay extension, avoiding duplicate check-in.
- Red indicator: Potential linked reservation (system detected a possible link — manual confirmation needed)
- Purple indicator: Confirmed linked reservation
Why do some reservations show upgrade / downgrade indicators?
When the assigned room type differs from the booked room type, the system shows upgrade (higher category) or downgrade (lower category) indicators.
What does "room authorization incomplete" mean? How do I fix it?
This tag means an occupant should have room access but authorization failed. To fix:
- Re-authorize on the reservation detail page.
- If it still fails, contact IT support.
