Terminate the contract, stop any sublet, check out the long-stay reservation, and mark the deposit as refunded after balancing.
Front desk or operations staff end a long-stay stay: terminate the contract, stop an active sublet if any, check out, then balance and mark the deposit refunded after finance refunds it.

Steps
Terminate the contract
An active contract can be terminated on its end date.
Click Terminate Contract.
In the dialog, click Confirm.
If any bill tied to the contract is unpaid, terminate fails with an error.
Stop sublet (if any)
Stop Sublet appears when the sublet is in progress and its end date is today.
Click Stop Sublet.
In the dialog, click Confirm.
If an in-house hotel reservation occupies the room, confirm shows a prompt and you cannot stop the sublet. Change room or check out that hotel reservation first, then stop the sublet.
Check out
Click Check Out.
In the dialog, check I acknowledge and confirm.
Click Confirm to complete check-out.
A refund-due amount does not block check-out; it only notes that the deposit is not yet refunded.
Balance and mark deposit refunded
After finance refunds the deposit, operations must:
On Transactions → deposit folio, manually create a transaction with the same transaction code and the opposite amount to balance.
In the bill list, mark the matching deposit bill as Deposit refunded.
If marking Deposit refunded fails, check whether the reservation is archived. If archived, unarchive first.
Balancing and marking Deposit refunded are money steps. Confirm the refund is complete before you mark the bill.
